Away from home

This page is for coordinators and registered managers. It covers the “Away from home” card on the “Care plan” tab: booking a stay, what it does to the rota, correcting the dates and removing it.

The card’s line reads “Hospital stays, respite, time with family. Care pauses while they are away.”

  1. Click “Add absence”.
  2. Fill in “Reason (optional)”, for example a hospital stay or respite.
  3. Fill in “First day”.
  4. Fill in “Last day”. Leave it blank for a single day and it takes the first day.
  5. Click “Add absence”.

Stays cannot overlap each other. If the dates cross one already booked, the save is refused.

Two things follow, straight away:

  • Nothing new can be planned on those dates, and the client’s recurring pattern skips them. Copying a week skips them too, and says so.
  • The visits already planned inside the range are offered for cancellation as a rota suggestion, headed “Cancel the visits while this client is away”. Its “Cancel visits” step reads “These visits fall on days the client is away or the organisation is closed. Ticked visits are cancelled.”

Nothing is cancelled until you confirm. Tick the visits you want cancelled and apply the change. Anyone on a published visit that is cancelled is told.

Use “Edit” beside the stay. The dialog is “Edit absence”, described as “Correct the dates or reason. Ending a stay early keeps the record of it.”

Change the dates and click “Save changes”.

Ending a stay early is the common case: the client comes home before the ward said they would.

  • The days that are no longer covered reopen, and the visits cancelled for them come back.
  • A suggestion offers the returning visits their crew, giving the reason that the client is home again.
  • What is still inside the shortened stay is still offered for cancellation.

Correcting the dates keeps the record that they were away. That is why there is an “Edit” door rather than a delete and re-add.

  1. Click “Remove” beside it.
  2. The dialog asks “Remove this absence?” and says “Planning reopens for these dates and recurring patterns fill back in.”
  3. Click “Remove”.

Removing lifts the whole stay: the dates reopen, the visits cancelled for them come back, and the rota offers who covers them. The stay itself is kept in the record rather than erased.

A stay whose last day has passed is greyed out on the card. It stays on the record.

A support worker opening the “Care plan” tab sees the list of stays, with no add, edit or remove controls. They do not see the “Care team” tab at all.
