Team performance
This page is for coordinators, registered managers and owners. It covers what each column on the team performance report means, and how to read the numbers fairly.
What the report is
Section titled “What the report is”“Team performance” is described as “Everyone on the rota, for visits that have already happened, from the check-in and check-out stamps.”
Two things shape every number on it:
- Only published visits count. A visit still being planned is not performance.
- Only elapsed work counts. A visit that has not started yet is a plan, so the period is cut off at today and today’s later visits are left out.
Everyone currently on the roster gets a row, even a row of zeros, because an empty row is information.
The period
Section titled “The period”The presets are “Last 4 weeks”, “This month”, “Last month” and “Custom”. It opens on “Last 4 weeks”. “Custom” reveals “From” and “To”. The dates covered are printed under the heading.
The columns
Section titled “The columns”The card is headed “By person”, described as “Everyone on the rota, for visits that have already happened. Missed means nobody checked in and the visit is over; late means arrival more than 15 minutes after the start.”

| “Person” | The name, which opens their profile. |
| “Visits delivered” | Visits they checked in to, out of the visits they were on whose start has passed. |
| “Missed” | Visits they were on where nobody checked in and the visit’s end time has passed. A visit still running is late, not missed. |
| “Late” | Arrivals later after the start time than the late grace under Settings, Timings: 15 minutes unless changed. The same threshold the late alert uses. |
| “On time” | Delivered visits that were not late, as a percentage of delivered visits. Blank when they delivered nothing. |
| “Hours delivered” | Hours from check-in to check-out, out of the planned hours of the visits counted. |
| “Of contract” | Planned hours as a percentage of their contracted hours for the length of the period. Reads “No contracted hours” when none are set on their profile. |
| “Leave days” | Approved leave with the reason “Holiday”, in working days, counted only inside the period. |
The last row, “Everyone”, totals the rows on screen. “Of contract” is left blank there, because contracted hours do not add up into a meaningful total.
What turns red
Section titled “What turns red”Two things, to say where to look first:
- Any missed visit at all.
- An on time rate under 80% for someone with at least five delivered visits. Below five visits the percentage swings too much to mean anything.
Red is a prompt to ask, not a conclusion. A late arrival can be traffic, a handover that overran, or a visit that should never have been seated that tightly.
Search
Section titled “Search”The search box narrows the table by name. The totals row and the export follow whatever is on screen.
Export CSV
Section titled “Export CSV”“Export CSV” writes the rows on screen with these columns:
name, visits_planned, visits_delivered, visits_missed, late_arrivals, on_time_rate, planned_hours, delivered_hours, contracted_hours, utilisation, leave_days
Hours are given to one decimal place. The file name carries the dates of the period.
