Leave

This page is for support workers and coordinators, and covers how leave works in WholeVisit and where to find it.

Anyone on the team can ask for their own leave. It arrives as a request and waits for a decision.

Coordinators and registered managers decide those requests, and can also book leave for anyone. Leave a coordinator books is approved as soon as it is saved.

A request is for days still to come: the request dialog will not take a day that has passed, and the platform refuses one with “A request is for days still to come.” Sickness is the exception, because it is recorded after the day. Anything else that has already passed is a coordinator’s booking, not a request.

Leave in the navigation — and on the phone’s tab bar — is one page with two faces. A coordinator sees the organisation’s picture: the requests waiting, what is booked, and the history, with Book leave for anyone. A support worker sees their own: the allowance and what is used, their requests with their status, and Request leave. The same card is on their profile’s Leave tab; the navigation just saves the trip.

That card leads with the next stretch away (or how long they are away for now), then the allowance. Below it the leave sits on the same three shelves as the Leave page — waiting, current and upcoming, past and declined, with history filed under its year. Each row opens to its detail: when it was asked for, who answered and when, the note, and — for a request still waiting — what approving it does to the rota. Approve, decline, edit and remove live inside the open row.

Every piece of leave carries a reason: “Holiday”, “Sickness”, “Appointment” or “Other”. Only “Holiday” is counted against an annual allowance.

Rows say the reason as plain words and wear a badge only for a signal: “Away now” while the person is away today, “Awaiting approval” while a request is undecided, and “Declined” where it was turned down. A declined row also carries the line the coordinator wrote, if they wrote one.

Approving leave does not empty the rota. As the page puts it, “Their visits stay on the rota and are flagged until someone reassigns them.”

That is deliberate. A visit that quietly lost its support worker would be a visit nobody notices. Instead the visit stays where it is, wearing a warning that names the person on leave, and WholeVisit offers you cover for it. See Approving and declining.

Leave says when somebody is away. On call says when they are reachable — and puts them first in line for a visit that needs covering at short notice.
