The timeline
This page is for coordinators and registered managers. It covers the “Timeline” tab on a client record: what it holds, who can see it, and how to read a line.
What is on the tab
Section titled “What is on the tab”The “Timeline” tab holds three cards.
- “Record”: how long the record is kept, “Care ended on” and “Export record”. Exporting and removing covers it.
- “Care received”, described as “Delivered visits, newest first: who came, when, and what they noted.” Each entry gives the date and planned times, the people who came, their arrival and departure stamps, and their handover note. The date opens the full visit.
- “Timeline”, described as “Every change to this person’s record and every time it was opened, newest first.”
Who can see it
Section titled “Who can see it”The “Timeline” tab is offered to everyone who reads the organisation’s records: the owner, coordinators, the office and an inspector. The “Timeline” card itself is shown only to those who read the audit trail, so the office sees the other two cards without it. Support workers are not shown the tab, and a link straight to it opens “Overview” instead.
Support workers do get “Care received”, but on the “Overview” tab, and the visits there are not links.
What the timeline covers
Section titled “What the timeline covers”Everything audited about this person, in one list: the client record itself, the care plan and its tasks, medicines, away from home dates, the care team, visits and who was on them, doses, ticks and incidents. Changes and reads both appear, so the trail answers who looked as well as who wrote.
The trail is append-only. Nothing on it can be edited or deleted, including by the owner.
Reading a line
Section titled “Reading a line”Each line has the date and time on the left and one sentence on the right. The sentences follow a few shapes:

| Someone added something | A record was created, for example a medicine or an away from home range. |
| Someone changed a field from one value to another | A single change, with the old value and the new one. |
| Someone changed several fields | More than one field at once. Open the row for the detail. |
| Someone opened a record, or viewed a list | A read. Lists carry the filter that was used. |
| Someone amended something, with a reason | A correction, quoting the reason that was typed at the time. |
| Someone recorded a medicine as an outcome | A dose answer, with the note. |
| Someone removed or restored something | A soft removal or its reversal. |
| Someone destroyed a record, with a reason | The end of retention. |
Times are shown on your own clock. Names are the names as they were at the time, so a person who has since left still reads correctly, and someone no longer on the roster reads as a former colleague.
Paging
Section titled “Paging”The list is newest first. Use “Older” and “Newer” at the bottom to move through it. The page number reads “Page 2 of 7”.
For the whole organisation rather than one person, use the audit trail under “Settings”.
