Setting up your organisation
This page is for the owner of a new organisation. It covers the six steps WholeVisit walks you through after you create one, what each step switches on, and how to come back to it.
The first run
Section titled “The first run”When you create an organisation from the picker, WholeVisit opens its first run instead of an empty dashboard. There is no menu on these screens: one question per screen, with why it matters and what it unlocks, and the real form underneath. “Finish later” at the top takes you to the dashboard at any point.
The six steps, in order:
- Your organisation. Its name, timezone, the day your week starts on, and how often payroll runs. Every today, every late alert and every timesheet follows these.
- Opening hours. The days you run, the hours the day view shows, and who to ring when the office is shut. Visits outside these hours are flagged before they are published.
- Your team. Invite the people who will use WholeVisit. The role is explained beside the field; an invitation lasts 14 days. Auto-fill and the rota suggestions only have people to choose from once they are here.
- Your first client. A name and a date of birth make the record. The care plan, medication and care team are added on the record itself.
- Their care schedule. The weekly pattern the rota is built from. It lives on the client’s record, so this step points there.
- Publish the first week. What happens next: fill the week on the rota and publish it, the team records each visit at the door, and alerts and reports read the same record back.
Every step but the last can be skipped with Skip for now; the last offers Finish setting up without publishing instead. A skipped step stays on the list until it is done.
The steps tick themselves
Section titled “The steps tick themselves”The steps are read from your records, not from a checklist. A person invited from the Team page, a client added from the Clients page, or a care schedule written on a client record ticks its step the same as one done in the first run. The first two steps tick when their settings are saved, whether here or under Settings.
Coming back
Section titled “Coming back”Until the first week is published, the dashboard carries a Getting set up card with the six steps and how many are done. “Continue setting up” opens the next step to do. “Hide this” takes the card away for good; you can still reach every setting under Settings, Team and Clients.
Once a week is published, the card goes and setting up is over.
