Requesting leave

This page is for support workers, and covers asking for leave and taking a request back.

  1. Open “My profile” from the account menu.
  2. Find the “Leave” card.
  3. Select “Request leave”.
  4. Choose a “Reason”: “Holiday”, “Sickness”, “Appointment” or “Other”.
  5. Set “First day”.
  6. Set “Last day”. Leave it empty for a single day.
  7. Select “Request leave” to send it.

The request appears on your card straight away, marked “Awaiting approval”, and the coordinators are emailed that a request is waiting for them.

They decide it on the “Leave” page, where they can see exactly what approving would do to the rota before they answer. When they do answer, you are emailed either way, and the badge on your card changes to show it.

You cannot book leave over dates you already have leave for, whether that leave is approved or still waiting. WholeVisit says “They already have leave over those dates.” if the ranges overlap.

Nothing is taken off you while the request is waiting. Your visits stay exactly as they are.

When the request is approved, they still stay. The rota flags each of them, naming you as on leave, and offers the coordinator cover for them. Until somebody applies that cover or reassigns by hand, the visit is still on the rota with your name on it, which is why the office can see it needs an answer.

While a request is still waiting, it is yours to take back.

  1. Open “My profile”.
  2. Find the request on the “Leave” card.
  3. Select “Remove”.
  4. Select “Remove” in “Remove this leave?” to confirm.

Once leave has been approved, it is a decision, and only a coordinator can withdraw it. Ask the office. When they do, you are emailed that your leave dates changed, and the rota offers you back the visits that had been covered for you.

A declined request stays declined. To ask again, book new dates.

If the coordinator wrote a line about why, it is in the email under “They said:”, and on your “Leave” card under the “Declined” badge as “Why it was declined:”.
